Additional Charges

What is Location Surcharge and why is it charged?

A surcharge was imposed by the Namibian Airports Company (NAC) Ltd at certain airport locations and applies to all car rental companies. The outlying area surcharge is levied by smaller and remote locations due to higher logistics costs of operating at these locations.

What is the additional driver fee for?

This is for risk and administration related costs for multiple drivers. The fee of N$ 350.00 applies per rental, irrespective of it's length and is applied by most car rental companies.

Why do we pay accident administration fee?

As the responsibility amount on the waivers only contributes towards the repair costs of the vehicle, an administration fee of N$ 675.00 per accident will be levied to cover the costs of processing the claim. This includes items such as assessor fees, quote gathering and legal services.

Is there an Valet Fee?

If the vehicle is returned with excessive dirt or stained upholstery a Valet Fee of N$ 900.00 Including VAT may be charged.

Is there an administration fee for traffic fines received ?

There will be a traffic fine administration fee of N$ 295.00 Including VAT in the event that the renter may receive a traffic fine whilst renting the Avis vehicle.

Why is there a re-fuelling charge if I have free kilometres?

The kilometre charge in car rental relates to maintenance costs. Fuel is a separate cost altogether. Avis provide a full tank of fuel and the customer will be charged to re-fuel the vehicle on return.

When is there no charge for re-fuelling?

There is no charge for re-fuelling when the car is brought back to the Avis station with a full tank, or if the rate charged includes fuel.

How is the 24-hour period calculated?

Rates are calculated on a 24-hour period from the time you sign the rental contract until the return of the vehicle. We do allow a 29 minute "grace period" on the final day of return as a gesture of goodwill.

If one rate is booked, how come the rate changes?
Rate shopping at time of reservation determines the best rate at that time for a specific rental period. Should the dates or details for the reservation change, this may have an effect on the rate.

What is a One Way Fee?

A one way fee is a set fee charged when a customer collects the vehicle from one location and returns to another. This does not apply to all locations. Generally, these charges apply when long distances are involved. This will be stated at time of reservation or when you get a quote.

How is the Rate of Exchange calculated?

The exchange rate is applied at the time of return of the vehicle at foreign destinations. 

I'm going to return my hire car later than agreed. Is this ok?

We understand you might get delayed, so we try to be flexible. If you’re running late or need to extend your car rental - do make sure you contact us as soon as possible. Should you return the vehicle late - without notifying us or extending your hire - you may be subject to additional charges.

In Namibia, a daily rate is charged per 24 hours with a 29 minute grace period. Should you return the vehicle late and the time exceeds the grace period an extra day's rental will be charged to you.

Certain countries charge a late return fee. Please check the terms and conditions for the country that you are renting in to see if the late return fee will be applied.

How is a late return fee applied?

  • If you overrun past your agreed return date and time, you will incur a late return fee
  • If you still haven't returned the vehicle 24 hours later, then another late return fee will be applied
  • A late return fee will continue to be added every 24 hour period thereafter, until you return the vehicle to the rental station

Please note, if you return your vehicle after the agreed date and time, you will pay an additional days rental charge - plus a late return fee for each day (or part of a day) that you are late.

How much is the late return fee?

Depending on the country of rental, the daily late return fee will be (inclusive of VAT)

  • £12
  • CHF16.20
  • 125 (DKR, NKR or SKR)
  • Between €10 and €12.30 (country dependant)
  • Or the equivalent amount in local currency

Driver Qualification

What are the minimum age requirements when renting from Avis?

Renters must be in possession of a valid unendorsed driver’s licence. The minimum age is 21 years and driver's licence must have been valid for a minimum of 1 year. It is a legal requirement in Namibia to be in possessions of your drivers licence at all times whilst driving a vehicle.

Will I need to produce my driver's license?

You will be expected to produce a valid, unendorsed driver’s license when you collect the Avis vehicle. The license must have been valid for a minimum of 1 year. It is a legal requirement in Namibia to be in possession of your original driver's license at all times whilst driving a vehicle.

 

Waivers & Liabilities

What is Collision Damage Waiver?

The optional Collision Damage Waiver offered by Avis is not an insurance. It’s an option that limits renters of the financial responsibility in the event of damage to the vehicle and/or any part thereof.

There are 2 options:

Collision Damage Waiver (CDW) - Reduces the amount of the liability that the renter is responsible for in the event of accident damage.

Super Collision Damage Waiver (SCDW) - Further reduces the amount of liability that the renter is responsible for in the event of accident damage.

Please refer to the rental guide for more information on the applicable liability and the conditions under which they will not apply.

What is Theft Loss Waiver?

The optional Theft Loss Waiver offered by Avis is not an insurance. It’s an option that limits renters of the financial responsibility in the event of theft of the vehicle or part thereof. Personal property is not covered.

There are 2 options:

Theft Loss Waiver (TLW) - Reduces the amount of the liability that the renter is responsible for in the event of theft.

Super Theft Loss Waiver (STLW) - Further reduces the liability that the renter is responsible for in the event of theft.

Method of Payment

Must the driver be in possession of his own credit card when picking up the vehicle?

 

Yes the name on the credit card must be the name of the driver of the vehicle.
